Changing Address or Email During a Partner Visa Application: Updates and Missed Notices

By , Principal Lawyer

Check my contact updates

Moving house is busy enough without wondering whether an important visa letter went to the old address. The same problem can arise after changing email providers, replacing a phone or appointing a new adviser. A contact update looks administrative, but missed correspondence can become a substantive problem if a response deadline passes unnoticed.

Start by identifying which details changed and where they are recorded. Your ImmiAccount login email, the application’s contact details, the sponsor’s details and an authorised recipient appointment may need separate attention. Updating a bank, employer or another government service should not be assumed to update Home Affairs automatically.

This guide focuses on contact information and communication after lodgement. For the broader process, visit our partner visa hub. For account access and authentication problems, use our shared ImmiAccount security guide.

Identify every detail that changed

List the old and new residential address, postal address, email and phone details as relevant. Record the effective date. A residential move and a change in postal arrangements are different facts, so avoid using one address field as a convenient substitute for another without checking what the form asks.

Also identify whose information changed. The applicant, sponsor and included family members may not all have moved together. Do not update everyone to the same address merely because it makes the file easier to manage. The record should reflect the actual living and contact arrangements.

If the change is connected with separation, work travel or a new household arrangement, assess whether additional information needs to be supplied about the relationship or circumstances. Updating an address does not necessarily communicate the legal significance of the event that caused the move.

Use the current Home Affairs update process

Home Affairs’ contact details guidance identifies ImmiAccount as the quickest way to update details. Its online contact update form directs people with ImmiAccount to use the Update Details screen there. Follow the current instructions applicable to your matter.

Do not rely on an old downloaded Form 929 simply because it appears in a search result. Home Affairs’ changes in circumstances page states that the paper form ceased being available for this use from 25 November 2024. Current official instructions should guide the update rather than a saved checklist from an earlier application.

Keep confirmation of what you submitted and when. A screenshot of a completed but unsubmitted screen does not establish that the update was received. Check the saved record through the available process and retain the acknowledgement where provided.

Account profile and application contact details are not interchangeable

An email address used to sign in or receive authentication messages may serve a different purpose from the email nominated for a particular application. Check both. A successful login using a new email does not necessarily prove every correspondence field has changed.

If several applications are managed through one account, identify which matters need updating. A partner application and a sponsorship application may have separate records. The presence of both in one account should not be treated as evidence that changing one updates the other automatically.

Use a small checklist with the relevant matter, old detail, new detail and confirmation. This is particularly helpful where a family has several pending applications. It reduces the chance of completing the update for one person while assuming the same action covered everyone else.

Check the authorised recipient arrangement

If a lawyer, agent or another person receives correspondence for you, establish how they will be informed of the change and whether the formal appointment remains correct. Updating your own address should not be assumed to withdraw or alter that appointment.

Our Form 956 and 956A guide explains the different roles. The appointment should reflect who is actually authorised and available to receive documents. An informal agreement to forward emails can fail if it is not supported by a clear process.

Tell the adviser about upcoming periods when you may be difficult to reach. A valid email address is useful only if messages are monitored and acted on. Agree on responsibility for checking notices, obtaining instructions and confirming that responses were submitted.

A move may need an explanation in the relationship evidence

If the couple moves together, retain relevant evidence of the new household arrangement. If only one person moves, explain the actual reason where it matters to the relationship account. Work, study, caring responsibilities and a relationship breakdown are different situations and should not be presented as interchangeable.

An address change alone does not establish that a relationship ended. Equally, keeping the old shared address on the application does not make an ended relationship ongoing. Accurate contact information and accurate relationship information should support each other.

Where separation or reconciliation is involved, read our break-up and reconciliation guide. The contact update is one administrative step; any required substantive notification needs separate assessment.

If you discover a notice in an old inbox

Save the complete notice, the email details and the date you actually found it. Do not delete the message or forward only the first page. The delivery method, dates and wording may matter to the assessment of what should happen next.

Check whether the response date is still open and obtain advice promptly. Do not assume that the period begins when you personally read the notice. Notification rules and the circumstances need legal assessment. An explanation that an email was overlooked is not an automatic extension or cancellation of a deadline.

If the application has already been decided, identify the decision and any review rights immediately. Our visa refusals hub provides the broader starting point. Sending the requested document after a decision may not be the procedural step needed to challenge that decision.

Spam folders, filters and shared inboxes

Check whether messages are being filtered, forwarded or archived in a way that makes them easy to miss. Review the arrangement using a secure device and the email provider’s official settings. Do not rely on a single search term if correspondence may use different references or subject lines.

A shared inbox should have a clear monitoring plan. If both partners assume the other is responsible, neither may act. Keep a record of formal notices and deadlines outside the ordinary stream of email, with appropriate access and privacy controls.

If a message appears suspicious, verify it through official channels before opening unexpected attachments or providing information. At the same time, do not ignore a potentially genuine notice indefinitely because it looks unfamiliar. Verification and deadline management should proceed promptly together.

Safe contact details after separation or violence

A change of contact details can be especially important where another person monitors messages or controls access. Use a safe device and consider the risks of making changes that may be visible to them. Inform your adviser of safe methods and whether voicemail or postal contact is appropriate.

Do not assume changing a password removes every other person’s authority to receive correspondence. Check the application details and any authorised recipient appointment separately. Our account-security guide explains those distinctions.

Where family violence is involved, obtain individual advice about the visa pathway and support options. Administrative control of the inbox should not determine whether someone feels compelled to remain in a relationship. The legal position needs assessment using the actual application and circumstances.

Example: the couple updates one record but misses another

In a fictional example, Priya and James move house. Priya updates her applicant contact details and assumes James’s sponsorship information changes automatically because both matters appear in their account. Later, they discover that one record still contains the earlier address.

The practical response is to check each relevant record and complete the appropriate update. They retain confirmation and review whether any correspondence was sent to the old details. They do not backdate a confirmation or claim the second update occurred when the first one did.

This example shows why the unit of checking should be the relevant application or person, not simply the account. A shared interface can contain separate information that requires its own attention.

Example: an adviser forwarded a notice to an abandoned email

Another fictional applicant, Mateo, changes email providers but does not tell his adviser. The adviser forwards a Department request to the address on file. Mateo finds it later, after the response period appears to have passed.

He needs prompt advice about the notice, delivery history, current application status and available next steps. The factual account should identify who received what and when. Blaming the email provider without checking the record does not establish the legal position.

The longer-term fix is a clear update and acknowledgement process, but the immediate task is the actual notice. A better inbox arrangement cannot retrospectively answer a response requirement that needs legal attention now.

Retain evidence of the update

After making a change, keep the available confirmation and note which application or record was updated. If both applicant and sponsor have relevant records, do not assume one update necessarily changed every contact field. Review the arrangements for an authorised recipient separately from your own residential address.

If you later discover a missed notice, this history can help explain what was changed and when. It does not establish that a deadline has restarted. Preserve the original notice, its available delivery information and the date you actually found it, then seek advice on the next procedural step. Accurate dates are more useful than a general assertion that the email system failed.

Frequently asked questions

Does updating my ImmiAccount profile update every application?

Do not assume it does. Check the contact details in each relevant application and any authorised recipient arrangement. Retain confirmation of the actual update. The account login and the correspondence details for a particular matter can serve different functions.

Can I still use an old Form 929?

Use the current official process. Home Affairs states that the paper Form 929 ceased being available for this use from 25 November 2024. Its current guidance directs ImmiAccount users to update details through the relevant screen. Old search results should not override those instructions.

Does moving to another address mean our relationship ended?

Not automatically. The reason for the move and the actual relationship circumstances matter. Keep the address accurate and explain relevant separate living arrangements. If the relationship did end, do not use an old shared address to avoid addressing the substantive change.

Does a deadline start when I open the email?

Do not rely on that assumption. Notification rules and the particular facts need assessment. Save the complete communication and seek advice promptly if the response date may have passed. Discovering a message late does not automatically reset its legal timetable.

Should both applicant and sponsor check their details?

Yes, each should ensure the relevant records are accurate through the applicable process. A change for one person should not be assumed to update every other record. This is especially important where the couple uses separate applications, contact details or representatives.

What should I do if a refusal notice went to the old address?

Obtain the complete decision and delivery details immediately and seek advice about review rights, deadlines and current visa status. Do not assume a contact update reopens the matter. The correct next step depends on the decision and the applicable legal process.

Request a call back about a contact update or missed notice

Tell us what changed, whether the update was submitted and whether a notice or decision has been found. Include the date shown on the notice and the date you discovered it. Avoid sending passwords or full identity documents through the initial form.

Accurate contact details are part of an organised application, but a missed notice needs more than an inbox tidy-up. The next step should address both the communication record and the legal position the notice creates.

Please include any deadline. Do not include passport numbers or detailed medical information.
